Pre-enrolment information

Training at Key Employment provides clear information to each client, prior to enrolment, which includes the following:

Client selection and enrolment

Some courses will require potential students to complete an application form which helps us identify enrolment suitability and any literacy or numeracy issues.

Literacy and numeracy assistance

Potential students may be assessed to determine if their literacy and numeracy skills are sufficient to successfully complete the training program. This is usually via an interview and completion of an exercise contained in the proposed training program.

Those who require further assessment or support will be referred to a qualified expert. Any costs incurred will be the responsibility of the student.

Privacy Notice

Under the Data Provision Requirements 2012, Training at Key Employment is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER).

Your personal information (including the personal information contained on your enrolment form and your training activity data) may be used or disclosed by Training at Key Employment for statistical, regulatory and research purposes. Training at Key Employment may disclose your personal information for these purposes to third parties, including:

  • School – if you are a secondary student undertaking VET, including a school-based apprenticeship or traineeship;
  • Employer – if you are enrolled in training paid by your employer;
  • Commonwealth and State or Territory government departments and authorised agencies;
  • NCVER;
  • Organisations conducting student surveys; and Researchers

Personal information disclosed to NCVER may be used or disclosed for the following purposes:

  • Issuing a VET Statement of Attainment or VET Qualification, and populating Authenticated VET Transcripts;
  • facilitating statistics and research relating to education, including surveys;
  • understanding how the VET market operates, for policy, workforce planning and consumer information; and
  • administering VET, including program administration, regulation, monitoring and evaluation.

You may receive an NCVER student survey which may be administered by an NCVER employee, agent or third party contractor. You may opt out of the survey at the time of being contacted.

NCVER will collect, hold, use and disclose your personal information in accordance with the Privacy Act 1988 (Cth), the VET Data Policy and all NCVER policies and protocols (including those published on NCVER’s website at

Unique Student Identifier (USI) and Photo ID

As a registered training organisation delivering nationally-recognised training in Australia, we are required to collect Unique Student Identifier (USI) numbers.

Before we can issue a qualification or statement of attainment, you must have a valid USI. This number stays with you for life and you will need to provide it to other training providers when you enrol in any further accredited training.

You will require photo identification on enrolment or a 100 point ID check.

Flexible learning and assessment

Many of our courses are offered via flexible delivery. This means you can enrol and study from home or work. We encourage all flexible students to meet with their trainer on a regular basis to undertake practical demonstrations.

Training at Key Employment employs trainers with appropriate qualifications and experience to deliver specified training, and facilitate the assessment relevant to the training products offered.

Assessment will meet the National Assessment Principles. Our facilities, equipment and training materials will be utilised to ensure the learning environment is conducive to the success of our students.

Trainers and assessors are required to be flexible and innovative when delivering and assessing training to ensure that individual learning requirements are addressed.

Your trainer will discuss your study load as well as your assessments with you prior to commencement.

Support and guidance

Client support services

Training at Key Employment provides support services depending on the needs of its clients and capacity to provide these services. Information is provided to learners about available support services and any external support arrangements.

Training at Key Employment liaises with students, trainers and assessors, and other stakeholders to ensure that the type of intervention chosen is appropriate for the student and the learning and assessment program. Training at Key Employment monitors the delivery of support services and identifies changes for continuous improvement.

Welfare and guidance

Training at Key Employment is able to provide a list of external services available for students who may require additional assistance.

Access and equity

Training at Key Employment applies access and equity principles and provides timely and appropriate information, advice and support services, which assist clients to identify and achieve their desired outcomes. Training at Key Employment meets the needs of individuals through the fair allocation of resources and the right to equality of opportunity without discrimination.

Training at Key Employment prohibits discrimination towards any group or individuals in any form, inclusive of but not limited to: gender; pregnancy; race, colour, nationality, ethnic or ethno-religious background; marital status; sexual preference; age; or disability.

Appeals & Recognition of Prior Learning (RPL)

Assessment appeals

All students have the right to appeal against the assessment decision should they be dissatisfied with the outcome. If you are dissatisfied with the assessment result, you are entitled to submit a formal written appeal within seven days of receiving the assessment result.

The written appeal must include all grounds for the appeal and should be addressed to the Training Manager. The appeal and the original decision will be considered by the Training Manager, the assessor and course coordinator within 14 days of receipt of the written appeal.

Recognition of Prior Learning (RPL)

Learners who have completed appropriate training or who through prior learning and experience have gained the required competencies required for each unit may be granted RPL or a Credit Transfer upon providing sufficient evidence. Students may make an application for RPL or Credit Transfer at any time.

Training at Key Employment advises all applicants of RPL opportunities and procedures on enrolment. The performance criteria of the course module sets the RPL benchmarks.

Evidence for credit of prior learning may include:

  • evidence of current competence
  • performance, demonstration, or skills test
  • workplace or other pertinent observation
  • oral presentation
  • portfolio, logbook, task book, projects or assignments
  • written presentation
  • interview
  • simulations

Candidates are charged a fee when making applications for RPL assessment. The training team will discuss the fee arrangements with you.

Training at Key Employment recognises qualifications issued via other RTOs.

Certificates and Statements of Attainment

Certificates and Statements of Attainment will be issued within 30 days of course completion. If you require a re-issue of a Certificate or Statement of Attainment due to loss or destruction, an administration fee will apply.

The student will be issued with a certificate on completion. If the student completes only one or more units but not a complete qualification, a Statement of Attainment will be issued.

Before certification is issued the Training Manager verifies competency has been properly assessed, all assessments completed, and all fees paid. Once all is in order, the CEO issues the relevant certificate.

Fees, Refunds, Complaints and Disciplinary Policies

Fees and charges

TRAINING at Key Employment ensure that all prospective learners are informed  of the fee’s, service agreements and refund policy through information contained with the Company Website, Training Enrolment Form and Student Handbook, specifying;

a) All relevant fee information including:

i) Fees that must be paid to the RTO; and

ii) Payment terms and conditions including deposits and refunds;

b) The learner’s rights as a consumer, including but not limited to any statutory cooling-off period, if one applies;

c) The learner’s right to obtain a refund for services not provided by the RTO in the event the:

i) Arrangement is terminated early; or

ii) The RTO fails to provide the agreed services.

Training fees paid to TRAINING at KEY Employment will be:

  • Retained in a dedicated, separate account with a recognised banking institution;
  • Accessed only when the service is rendered on a week-to-week basis;
  • Not used for any other purpose until the student has completed the training, related to the balance of the fees.

TRAINING at KEY Employment will provide learners with a minimum of 21 calendar day’s notification of any changes in service or terms and conditions prior to their taking effect.

Notification of change in service, terms or conditions will be in writing from the training manager addressed to the learner or designated advocate where applicable.

Notification letters must contain all details of the changes taking effect and the potential impact on the Learners training schedule.

Fees paid in advanced

Training at Key Employment will ensure that fees paid in advance of course delivery shall be protected and may not be drawn upon until such time as delivery has commenced.

Payment schedule: Fees for courses costing over $1,000

Registered Training Organisations (RTOs) are required to adhere to a strict regimen that specifies how they can collect Learner fees. These prescribed conditions determine the amounts and frequencies of payment.

The approved option Training at Key Employment has agreed to undertake is:

  • Stage 1 – Enrolment and commencement Learner pays $1,000
  • Stage 2 – First Week of course Learner pays the balance of fees due

(For self-paced Learners, final payment for any fees over $1,000 is due either when the theory work books are completed for full Qualifications, or half way through the course for unit by unit delivery).

Refund policy

Learner’s withdrawing from the training course, will receive refund of 90% of full fees, if notice of cancellation is received more than 5 working days’ prior to course commencement. 10% of full fees will be retained as administration charges

No refunds will be made for cancellations less than 5 working days’ prior to course commencement.

If no withdrawal or cancellation notice is received and the student does not attend the course. Full fee will be charged with no refund applied.

If Training at Key Employment cancels a training course prior to commencement, full refund will be provided to the student without penalty.

If a commenced course is discontinued or a student withdraws, the student may qualify for refund or fee credit to an alternate course, proportionate to the period of time not completed on that training course.

Request for refund due to extenuating circumstances will be considered on a case by case basis.

All requests for refund must be forwarded to the Training Manager.

All requests for refund must have an Application for Refund/Fee Credit form completed and retained on file, regardless of the outcome of the application.

Extenuating Circumstances

*Individual cases of extenuating circumstances will be considered on a case by case basis.

Extenuating circumstances may include but not be limited to:

  1. Sickness or death in an immediate family;
  2. Individual medical circumstance.

Note: A medical certificate or other equivalent documentation must be provided as evidence


All students are issued with a TRAINING at KEY Employment Student Handbook on enrolment which outlines Complaints, Appeals, Policies and Procedures.

The student with a Complaint or Grievance is advised to raise the matter in the first instance with the immediate and relevant TRAINING at KEY Employment staff member, who will attempt to resolve the issue.

In circumstances where the Complaint/Grievance is unable to be resolved by the immediate and relevant staff member, students may lodge an official complaint in writing using the Complaints & Appeals Form, or request a meeting to verbalise their complaints.  All official complaints are to be addressed to the Training Manager. Where complaints are taken verbally, the discussion is recorded on the Record of Complaints & Appeals Interview form and signed by the student and relevant staff member.

Staff members of TRAINING at KEY Employment are obliged to assist clients in the documentation of all complaint’s and grievance’s.

Students of TRAINING at KEY Employment have a right to be present at all hearings pertaining to the complaint/grievance

Students are to be advised of their right to have a support person/advocate (including interpreter if required) present during the hearing or resolution process and are encouraged to do so.

In the event of the Student not having an advocate and wishing to do so, TRAINING at KEY Employment will advise them of advocacy services available to them.  Student’s will also be given contact details for the Complaints Resolution and Referral Service; (CRRS) 1800 880 052.  Such services can be contacted at any time throughout the dispute/grievance process.

All correspondence or meetings pertaining to grievances must be recorded in the Complaints Register.

All information pertaining to student complaints/grievances will remain confidential.

Behavioural and disciplinary procedures

The objective of Learner discipline is to:

  • Maintain proper standards of Learner behaviour;
  • Protect the reputation and operations of Training at Key Employment;
  • Protect the public, including visitors.

However, where appropriate, the emphasis will be on corrective action rather than discipline, which may include options such as counselling.

Where disciplinary action is considered appropriate, it should be taken without delay as it is in the best interests of all parties concerned to have the matter resolved as soon as possible.

To ensure fairness and consistency in disciplinary matters, the following action is to be taken:

  • A Learner against whom a disciplinary matter has been raised should be informed as comprehensively as possible, of the allegation made against them;
  • Wherever possible, the Learner should have an opportunity to put forward their case;
  • All relevant parties should be heard and all relevant submissions considered;
  • The person who raises the disciplinary matter should not conduct the inquiry into the matter;
  • The decision maker must act fairly and without bias.

Furthermore, each case must be treated on its merits and the form of action taken should be tailored to the individual case. Even-handed treatment does not necessarily mean identical treatment. The same charge against two Learners will not necessarily lead to the same penalty. The circumstances of the two incidents may be different. For these reasons, it is neither possible nor desirable to establish a standard penalty for a particular offence.

In deciding what action is necessary, the decision maker should take care to weigh all the relevant considerations and not be influenced by irrelevant factors.

Disciplinary action may be taken when a Learner:

  • Breaches the responsibilities of Training at Key Employment Learners including plagiarism and cheating;
  • Engages in any misconduct;
  • Consumes or uses alcohol;
  • Consumes or uses illegal drugs, or misuses legal drugs;
  • Intentionally disobeys, or intentionally disregards, any reasonable instruction by the Training at Key Employment Employees, or another person in authority to make or give such an instruction;
  • Is negligent, careless or obstructive in their behaviour;
  • Is disrespectful to the Training at key Employment Employees or the learning environment;
  • Engages in any disgraceful, improper or illegal conduct which may bring Training at Key Employment into disrepute.

In cases of serious breaches, the Learner may be excluded from their course and Training at Key Employment’s premises immediately. Any illegal conduct of a Learner will be reported to the relevant authority.

All disciplinary matters will be documented and reported to the Training Manager.

Note: Training at Key Employment Employees will not accept abuse, raised voices, threats, or aggressive behaviour from Learners and should this occur, Training at Key Employment Employees will inform the Learner in writing, that the matter is being referred to the CEO. Where a Learner’s behaviour is in breach of Training at Key Employment’s code of conduct, the Learner’s enrolment with Training at Key Employment may be terminated without refund.
